Atria Office
Requester + manager + finance

Follow a purchase through to what arrived.

A purchase decision is one stage in a longer process. Atria brings the purpose, amount, reviewers, accountable owner, external order reference and receipt evidence together. Vendor, renewal, software license and expense modules support related operational work without pretending to be a finance ledger.

Capture the need before routing the decision

Record what is needed, why, the amount and currency, and the information reviewers require. A work case adds the intended outcome, owner, next action and deadline. Resolve incomplete information before a consequential decision. The requester can answer a clarification, but the responsible reviewer must still record how the answer resolves the question.

Set the right review sequence

A supported purchase policy can require manager, named person, qualified role or service owner review in a defined order. Currency specific thresholds route larger requests without implied exchange conversion. Each required decision stays visible, including an unresolved or unavailable reviewer. Qualified timed delegation can cover absence. A material change to the reviewed request can invalidate pending decisions while retaining their history.

Separate approval, ordering and receipt

An approved request still needs action. An operator records the external ordering reference, then partial or full receipt as the native workflow permits. Required tasks, blockers and unresolved handoffs continue to constrain the relevant fulfillment or completion actions. This helps distinguish permission to spend from evidence that the requested item or service arrived. Atria does not execute a bank payment or maintain an accounting ledger.

Keep renewal work assigned

The vendor register records an owner, obligations, notice deadlines and renewal decisions. Teams record review, notice or termination evidence rather than relying only on a calendar reminder. The software register tracks entitlements, capacity, assignment and reclamation. A reclaimed license is an inventory event; record a verified billing change separately before counting cash savings. These related registers do not automatically reconcile every provider invoice or discover all software usage.

Use accounting connections for explicit operations

Xero and QuickBooks are among the supported provider adapters. The integration review selects exact available operations and confirms editions, permissions, authoritative records and failure handling with your administrator. Atria does not imply automatic ledger posting, bidirectional synchronization or payment execution because an accounting logo appears on the website. The selected customer account must pass acceptance checks before live rollout.

Prove the full purchasing path

Test one ordinary request, a threshold decision, a changed request, an absent reviewer and a partial receipt. Measure follow ups and active effort through the actual outcome, including cases that stall. Compare complete ongoing and transition costs with bills that can actually be cancelled. Tax calculation, specialist procurement depth, contracting and authoritative accounting remain in the systems required by your business.
