What to take into your next decision

  • A reclaimed seat is not automatically a lower invoice.
  • Existing bundle rights can make incremental license cost zero.
  • Keep released time separate from cash savings.

Use the invoice and contract as the starting point

For each subscription, record currency, edition, paid quantities, required add ons, committed term, renewal date and cancellation rights. Ask whether a lower seat count actually changes the next invoice. A product used by several departments should appear once in the model, with all of its required functions attached to that cost.

Also record existing entitlements. A company already licensed for an eligible Microsoft or Zoom bundle may not need another paid booking subscription. Retained products contribute zero assumed subscription savings. Their recurring costs remain on both sides of the comparison unless the proposal changes them.

Consider a hypothetical 100 employee company with 100 deskbird Business active users, five Freshservice Growth agents and 50 Asana Starter users. At the reviewed annual billing rates, the monthly equivalent is CAD $500, US$245 and US$549.50 respectively. These packages have different scope and are not identical substitutes for Atria.

At an explicit planning assumption of 1.40 CAD per USD, the total is CAD $1,612.30 per month, or CAD $19,347.60 per year before tax. This is spend to evaluate for cancellation, not net savings. The assumption is not a live exchange rate. Enterprise controls, usage, assets, discounts and contract terms can change the final quote.

Subtract the complete cost of the proposed solution

Atria remains a scoped quote. Include that quote, hosting, optional AI or integration usage and support in the proposed monthly running cost. Include configuration, migration, training, contract overlap, cancellation costs and any new equipment in the transition figure. If the new arrangement costs more, the model should say so.

For a 12 month period after cancellation becomes possible, first year cash difference equals 12 times the difference between actually cancellable monthly spend and the complete Atria monthly running cost, minus one time transition costs. A positive difference is modeled savings. A negative difference is added cost. The interactive comparison calculator follows this approach and leaves Atria pricing blank.

  • Only genuinely cancellable costs are selected.
  • Every selected product’s required scope has passed acceptance.
  • The complete new running cost is included.
  • Exit costs, overlap and training are included.
  • The comparison period starts when cancellation is possible.

Model effort as capacity, then verify it

For a transparent hypothetical effort model, use 320 eligible cases per month, six net minutes avoided per case and four net administration hours avoided. The result is 36 hours per month. At an assumed loaded cost of CAD $40 per hour, that represents CAD $1,440 of capacity value. It does not establish a lower payroll bill or measured Atria performance.

Enter net time after allowing for the new process, retained tools and Atria administration. Measure active operator work separately from elapsed case time and waiting. Do not add a capacity valuation to the cash savings total or convert it into headcount reductions by assumption. The same operator minute should not be counted in two workflow improvements.

Distinguish reclaimed capacity, avoided purchase and cash reduction

Atria’s software register separates a reclaimed license from financial outcomes. A free seat may allow a future employee to reuse capacity. That can avoid a future purchase if the alternative purchase was actually planned. It is a different claim from reducing an existing committed bill.

Use the pilot to preserve baseline and observed evidence, explain exceptions and correct mistaken assumptions. After a subscription or contract change, verify the invoices. A credible business case can show coordination improvements before it establishes cash savings, as long as the outcomes remain clearly labeled.

Questions and answers

Can Atria promise a fixed percentage saving?

No fixed saving is established. Scope, current contracts, bundle rights, the complete quote and measured workflow changes determine the customer result.

Can we use these public rates as a procurement quote?

No. They are reviewed reference rates with specific units and billing terms. Confirm current vendor quotes, currency, discounts, usage and enterprise requirements.

Where can we enter our own figures?

The comparison page has a browser based calculator for selected subscriptions, other cancellable costs, the scoped Atria cost, transition costs and a separate effort model. Inputs are not stored or transmitted.
