What you can do

The work your team
can follow in Atria.

Keep guest arrivals, meeting preparation and package collection out of disconnected logs. Choose the relevant workflows, then verify the roles, systems and outcomes in your pilot.

Included workflow

Visitors and reception

Prearrival records, host references, check in, check out and reconfirmation after linked meeting changes.

What this helps you do

Reduce retyping guest details and missed reception updates.

Available actions

Check in visitor; Check out visitor; Cancel visit; Reconfirm visit arrangements.

Scope to check: No kiosk, badge printing, screening or physical door access.

Included workflow

A practical example / fictional scenario

A workshop moves to a different room

The organizer has already recorded guests and requested AV preparation. When the meeting time or room changes, the outstanding linked visitor and service arrangements are flagged. The receiving team must reconfirm the changed plan or explicitly cancel its commitment before continuing. The useful outcome is a checked arrangement, rather than an assumption that everyone saw a calendar edit.

01

Record the arrangement

Name the host, meeting occurrence and required service. Keep guest information limited to what the process needs.

02

Accept the preparation

Operators accept a service request, start preparation and record readiness. A changed meeting requires explicit reconfirmation.

03

Confirm the outcome

Record arrival and departure, service confirmation or package collection with the appropriate evidence and authorized operator.

A feature list starts the conversation. A focused pilot checks the actual roles, accounts, exceptions and result.

Room booking is the start: coordinate visitors, catering and AV when plans change
  1. A meeting change flags outstanding visitor and service commitments.
  2. An operator cannot fulfill an arrangement that still requires reconfirmation.
  3. An approved purchase is not mistaken for a supplier order.
  4. Package collection has a named collector and recorded verification.
Questions about visitors and meeting services

Clear scope.
A useful next step.

Which visitor functions are native?

Atria stores prearrival and host details and supports check in, check out, cancellation and reconfirmation after linked meeting changes. The visitor record is a coordination workflow, not an access credential.

Does Atria print badges or open doors?

No. A badge identifier can be recorded, but Atria does not include a visitor kiosk, badge printer, screening service or door controller integration.

Can we request catering, AV, setup and cleanup?

Yes. Meeting services tracks acceptance, preparation, readiness and confirmation. Purchase approval is a separate workflow; a service request does not place an order with a supplier.

What happens when a meeting changes?

Material changes to a linked native meeting flag outstanding guest and service arrangements. Operators review and reconfirm or cancel those arrangements rather than assuming the original commitment disappeared.

Does the mailroom module track carriers automatically?

No. Operators record carrier and tracking information, notification evidence, collection and returns. Carrier polling, label OCR and barcode hardware are outside the implementation.

What should a pilot demonstrate?

Use one real meeting pattern with a guest, a service request and a late change. Confirm who receives the change, who accepts it and what evidence closes the arrangement. Agree data retention and any separate access system before live use.
